Atea Logistics got new, integrated systems in SAP S/4HANA

In less than a year, Atea Logistics replaced 20-year-old core processes and went live with SAP S/4HANA.


Atea Logistics is the leading distributor and service provider within IT infrastructure in the Nordics. As an internal supplier to the Atea Group, they deliver products and services to the sales organizations in the Nordic and Baltic countries.

Summary 

When key processes depend on outdated and unsupported software, swift action is essential. For Atea Logistics, this meant a replacement of business-critical systems, with a fixed go-live date set even before the project began. Together with Pearl, Atea got a new, integrated system landscape based on SAP S/4HANA in less than a year. 

Atea Logistics was facing a demanding situation. Their systems were built on custom-developed, outdated software, with legacy solutions and no vendor support. These systems had been in operation for over 20 years, with several critical business processes tightly integrated. This made a fast and controlled replacement essential.  

A key challenge was the transition from customized systems developed specifically for Atea Logistics' needs to standardized SAP solutions. 

The new system needed to support sales, advanced pricing, integration with warehouse systems, procurement, and invoice processing. It also had to push price and inventory data every 15 minutes to other companies within the Atea Group. 

– The key drivers for the investment were a growing need for scalability and process efficiency, along with the need for a unified system platform that could support both continued growth and closer collaboration across the group, says Kajsa Carlén, CFO of Atea Logistics. 

The scope of the project was clearly defined: Within one year, all strictly necessary business processes were to be replaced.

Atea Logistics transitioned from outdated, custom-built solutions to a standardized SAP S/4HANA platform, resulting in a much simpler and more integrated system landscape. 

The new setup connects financial and logistical processes, with greater control, transparency, and real-time insight across the organization. Several business-critical systems that Atea Logistics had previously been dependent on were also replaced. While some legacy systems are still in use, most have been successfully phased out. 

The new SAP-based systems support both the daily operations and the continued growth of Atea Logistics. 

– The solution Atea Logistics has is MVP (Minimum Viable Product) – adapted for Atea Logistics, without being overdeveloped. Pearl managed this balancing act very well, explains Kajsa Carlén, CFO of Atea Logistics. 

A key success factor was the collaboration model. Both parties worked in small, efficient teams, enabling close and agile cooperation. The Atea team had strong support from top management, which provided both the freedom to act and the ability to make quick decisions throughout the project.

Project management was structured and pragmatic. Both Pearl and Atea Logistics prioritized building strong relationships within the project team, and challenges were handled with open dialogue. When the pace needed to increase, the teams met in person to make quick decisions and solve issues directly.

The result was a project delivered on time, with solutions that support Atea Logistics' most critical business processes. 

With a solid master data foundation and minimal custom development, the SAP solution offers high flexibility – which is essential in the IT industry.

– When the entire group is on the same SAP platform, we speak the same language and operate as one, says Kajsa Carlén. 

– The most important qualities in an ERP partner from an Atea Logistics perspective are skills and knowledge about the system. Its also a balancing act – questioning old ways of working and at the same time being flexible for the business’ needs, says Kajsa.
